Function
Your Key Responsibilities as Office Manager are vital to ensuring a smooth office running which in turn enables deadlines to be met
- Corporate Housekeeping
- Accounting support to the Finance Department (Account Payables/Account Receivables)
- Expenses follow-up
- Collect payroll data and communicate to the social secretariat
- Responsible for Office Supplies and Equipment, (SPOC for IT and telephone problems (escalate when necessary) and purchase office material)
- SPOC for Facility Management, (Landlord, Building Concierge, Cleaning Staff, Safety, Office Insurances, Office Spatial Organisation)
- Telephone contact and reception of visitors
- Handle daily e-mail and postal correspondence
- Preparation of presentations and correspondence
- Occasional appointment organisation and European travel arrangements
- Coordination from A to Z of 2 team events per annum
Profile
- Minimum 15 years of experience in administrative roles within fast-paced work environments
- Excellent English and Good French (written & spoken) OR
- Excellent English and Good Dutch (written & spoken)
- Sound knowledge of MS Office
- You have an international background, are a good listener and have diplomatic communication meaning you will adapt quickly to diverse multicultural stakeholders
- You are highly organised, excellent at prioritising and hence a varied role with regular deadlines appeals
- As you are solution oriented and analytical, problems do not pose a problem for you
- You are always pro quality and discrete
- You are both confident in your skill set and results-oriented and therefore can take ownership for your responsibilities
- You are a helpful and dynamic Team Player with a ‘can do’ attitude and an excellent sense of humour
